EHS Administration Assistant

You will support the global EHS leadership team with daily administration assistance, in close collaboration and reporting to the Executive Assistant. 

The position is not an EHS (Environment, Health, and Safety) position, and no prior EHS knowledge is required.

 

In this exciting role, you will:

General daily administration

  • Calendar management – for EHS Leadership Team members

  • Maintain the distribution lists and organization chart, following up with the Regional Directors

  • Editing and formatting of presentations with content provided upfront
  • Travel and expense support – booking and coordination of travel logistics, support for visa application, and expense report preparation

  • Deliver full cycle of invoice management (purchase order creation, invoice processing and tracking)

EHS meetings and event coordination:

  • Support coordination of global EHS conference calls and meetings

  • Coordinate the EHS events calendar, and follow-up with the sites

  • Support the coordination of the annual global EHS meeting and any other main EHS meetings

EHS Training

  • Provide administration support for the New Joiners Initiative, including co-ordinating invitations and participants list

  • Support communications, recordings, materials, and tracking tools

EHS reporting and presentations

  • Support input consolidation, presentation formatting and distribution, e.g. quarterly reports

  • Coordinate the EHS one-page document for EC members visiting Givaudan sites. This includes collaborating with the relevant site EHS Managers – approx. 10 per month

 

Your professional profile includes:

  • Fluent English – written and verbal

  • 2–3 years of experience in a similar role

  • Customer focus

  • Plan, manage tasks, using diverse tools or methods to suit different needs

  • Take responsibility and make progress autonomously, while looking for input and collaboration when beneficial

  • Manage confidentiality

  • Prioritization

  • Work with diverse teams

  • User level knowledge of MS Office software products (Word, Excel, PowerPoint),

  • Google platform and SAP knowledge are an advantage
