Administrative Assistant -  Your Future Position?

 

As the admin assistant in our Fragrance & Beauty Division, you will be reporting to Changzhou site general service manager, the position is responsible for supporting the daily operation of Fragrance Changzhou site.

 

At this exciting role, you will:

 

1. ACS (Access Control System) Management:

   - Create access cards for new employees and adjust permissions according to updated application forms.

   - Archive signed application forms and maintain electronic records. Periodically recheck and archive records, and resolve issues with the Engineering Department.

 

2. Shuttle Bus Management:

   - Distribute and supervise the completion of checklist forms by drivers, recheck and archive monthly, and address any abnormalities.

   - Periodically review shuttle routes, especially when onboarding new employees.

   - Provide safety training for drivers and verify and record monthly costs.

 

3. Company Vehicle Management:

   - Distribute and supervise the completion of checklist forms by drivers, recheck and archive monthly, and address any abnormalities.

   - Provide safety training for drivers, verify, and record rental fees, overtime, parking fees, and other expenses.

 

4. Cleaning Management:

   - Weekly recheck and supervise cleaning service quality, promptly address issues.

   - Monthly verification of cleaning staff attendance and bills, conduct satisfaction surveys, and communicate feedback with vendors.

 

5. Gardening Management:

   - Periodically recheck indoor and outdoor plants, supervise vendors' work quality and safety.

 

6. Canteen Management:

   - Complete daily, weekly, and monthly inspection reports as per government requirements, periodically conduct satisfaction surveys, and communicate with vendors.

 

7. Uniform Management:

   - Weekly send uniform delivery lists, collect new employee requirements, cancel uniforms for resigned employees.

   - Monthly verification of uniform bills, provide necessary safety training, and handle specific requirements.

 

8. Printing Machine Management:

   - Check printing quantities, calculate and confirm monthly costs, and promptly resolve printing machine issues.

 

9. Advertisement and Miscellaneous:

   - Coordinate with vendors for nameplates, employee badges, business cards, and festival decorations.

 

10. Muniment Room Service:

    - Assist departments in locating and managing archived documents.

 

11. Office Furniture Maintenance:

    - Coordinate with furniture vendors for the maintenance of office and dressing room furniture.

 

12. External Business Assistance:

    - Assist the Shanghai Finance or Legal department in providing required documents to local government.

 

13. Administrative Reception Preparation:

    - Prepare reception goods and meeting rooms according to requirements.
