Executive Assistant

Purpose

Perform administrative activities in order to provide administrative support to one or many of the company’s top executives according to company’s policies and executive’s needs.

 

Core Responsibilities

Personal Assistance

·        Support the executive(s) by reading, researching, and routing correspondence; drafting letters and documents, collecting and analysing information, initiating telecommunications

·        Maintain executive's appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel

·        File and retrieve documents and reference materials, conduct research, collect and analyse data to prepare reports and documents

·        Take notes during meetings and prepare meeting minutes

Office Administration

·        Maintain office supplies inventory by checking stock to determine inventory level, anticipating needed supplies and ordering new supplies

·        Ensure office equipment is functioning by completing preventive maintenance requirements and managing repairs

 

Academic Background

·        Bachelor’s/Master’s Degree or equivalent experience

 

Professional Experience

·        3-5 years of experience as a personal assistant, preferably in an international environment

 

Technical Skills

·        Fluent English, local language essential

·        Computer literacy

·        Time Management skills

·        Good interpersonal skills

·        Organisational skills

·        Communication skills

·        Problem solving skills
