Fragrance Consumer Products (Personal Care category)  - Team Administrator/Creative Fragrance Management Coordinator 

 

A Team Administrator with a global leader in the creation of Taste & Wellbeing and Fragrance & Beauty, and a key member of our Fragrance Consumer Products Development team in Dubai - Your future position?

 

Are you an experienced Business Support or Administrative professional and would like to take a new turn in your career by joining the Fragrance Development team of a global and leading organisation? Then this might be the perfect opportunity for you!

 

We are currently hiring for a ‘Team Administrator (Creative Fragrance Coordinator)’ to support the Fragrance Consumer Product development team in Dubai for the Personal Care category. You will provide timely administrative and project coordination support to the team and ensure smooth operations. You will focus on improving efficiencies for our project workflows, support in managing compliance, and help in achieving increased internal & external customer satisfaction. 

 

Based in our Dubai office in Media City and reporting to the Personal Care Category Director for the Middle East & North Africa region, you will join a creative, passionate, and winning team, and support our continued success story in the SAMEA region. This is an open contract role with us for 1 year to start with, working 5 days a week. Your monthly payroll will be processed by a 3rd party partner. The contract could be extended later depending on our business requirements with a potential later on to become a permanent role with us.

In this exciting role, with a 'can-do’ mindset, you will - 

 

Administration: 

  • Arrange market research samples for evaluation and maintain the samples library.
  • Schedule meetings, take notes during meetings, prepare minutes for internal circulation, and follow up with the team members to complete the assigned tasks.
  • Centralise the communication between different fragrance development centres internationally.
  • Maintain and update the local fragrance development database.
  • Coordinate internal fragrance smelling sessions.
  • Participate in continuous improvement projects and initiatives. 

 

Team Coordination:

  • Maintain and manage the proactive collections inventory by monitoring stocks and anticipating needs.
  • Manage and allocate development projects at the team level.
  • Support and facilitate customer visits when needed. 

 

Lab Coordination:

  • Anticipate and proactively coordinate with our Perfumery and Application Lab teams to continually ensure and maintain a reliable stock inventory of fragrance oils and raise procurement requests as needed.
  • Streamline the communication and work methodology between the fragrance development and lab teams. 
  • Raise requests for fragrance application samples in the internal Givaudan systems.

 

Fragrance library management:

  • Support the Fragrance development team to ensure regular updates and refreshes of the fragrance library collection. 
  • Assist in preparing market research samples for the fragrance library. 
  • Responsible for library records, labelling, and display.

Your professional profile includes -

  • Bachelors or University degree. 
  • 2+ years of relevant work experience in an administrative or business support role(s) in international and multicultural work environments, preferably in the fragrance, perfume, ingredient, chemicals, luxury or FMCG sectors. 
  • Excellent project management skills.
  • Working knowledge of ERPs like SAP is advantageous.
  • Excellent oral and written proficiency in the English language. Ability in additional languages like Arabic or French is advantageous but not mandatory.
  • A good team player and comfortable with diversity.
