General Service Manager, China - Your Future Position?
In this critical role, you will take the overall responsibility for Givaudan China General Services function for T&W and F&B Divisions. You will manage site office general service teams in Shanghai, Beijing, Nantong, Changzhou and Guangzhou. You will manage the company's administrative activities related to equipment and facilities, reception, office supplies, property safety, property maintenance, cleaning and gardening, communication systems in order to ensure proper environment for company's operations, according to company guidelines and local staff requirements, and within budget.
In this exciting role you will:
Office Administration

Oversee and direct the overall office administration functions across all sites in China, ensuring efficient, consistent, and compliant operations that support the organization’s strategic and operational objectives.

Lead, coach, and coordinate a team of five Site Administrative Managers to drive alignment, resource sharing, and best practice implementation across all locations.

Develop and implement national administrative policies, standards, and procedures in collaboration with leadership to ensure consistency and operational excellence.

Supervise and evaluate all office service areas, including administrative assistance, reception, communication systems, mail and courier services, fleet management, cleaning, gardening, maintenance, and cafeteria operations.

Partner with senior leadership to anticipate and address organizational needs, ensuring office administration policies, programs, and activities are both efficient and employee-centric.
Facility Management

Oversee facility planning and management across the China network, including preventive maintenance, asset management, upgrades, and space optimization to minimize disruptions and enhance workplace quality.

Develop long-term facility management strategies in coordination with corporate guidelines and site requirements, balancing cost efficiency and employee well-being.

Ensure compliance with safety and environmental regulations, coordinating with EHS and other relevant teams.
Office Supplies & Procurement Coordination

Establish and monitor office supply standards and budgets for all China locations in partnership with the Procurement IM&S function.

Review and approve major purchases and supplier selection to ensure cost optimization, service quality, and sustainability compliance.

Negotiate and manage key supplier relationships, leveraging national-level agreements to ensure consistent quality and value.

Leadership & Continuous Improvement

Drive continuous improvement and digitalization initiatives in administrative and facility management processes.

Prepare and manage national office administration budgets and KPIs; analyze performance data and report results to senior leadership.

Serve as the primary advisor to management on all matters related to administrative operations, policies, and infrastructure planning.
People Management

Lead, direct, evaluate, and develop the team of office administration staff
Your professional profile includes:

Bachelor’s or Master’s degree in Business Administration, Management, or a related field; equivalent professional experience will be considered.

Minimum of 5 years of proven leadership experience overseeing multiple site administrative or general services teams within multinational environments.

Demonstrated success in managing teams across multiple locations within China, ensuring consistent standards, efficiency, and compliance.

Fluent in English and proficient in Mandarin (both written and spoken).

Strong ability to lead, coach, and develop cross-functional and geographically dispersed teams.

Excellent communication, stakeholder management, and influencing abilities to effectively collaborate at all organizational levels.

Strong capability in process analysis, design, and presentation, with a focus on continuous improvement and operational excellence.
