Sales Support Admin

Report to the Director of Customer Service

 

Our Sales organization has a primary mission to assess customer product requirements, and develop plans to exceed those expectations. To protect and grow profitable sales at targeted accounts and to find new business development opportunities, front line sales focus needs to remain on selling activities. As a result, the Sales Support Admin role has been created to help the sales team manage through the tactical selling support needs.

The Sales Support function within the North America Sales Organization performs multiple administrative and executive support related tasks for our NOAM Sales Team. Each Sales Support Representative will be assigned to a group of Sales Directors and Account Managers.

Responsibilities:

  • Support KPI and performance reporting systems including the creation of reports, quarterly reports for customer shipments, lead-time reports, etc
  • Help with incoming and outgoing communications needs including working with managers and account managers
  • Interact with Marketing, FC&A, Regulatory, and Operations, to promote communication and engagement across all departments.
  • Support administrative implementation of the "Superior Customer Experience" and the "Differentiated Customer Visit" process
  • Manage all processes, outside of processing purchase orders, involved with intercompany purchases between Naturex and Givaudan.
  • Manage intercompany and customer business development samples.
  • Trace Gains and similar programs
  • Manage Sales Contracts for either Food & Beverage or Nutraceutical team, ensure entry, updates and expiry dates.
  • Provide coverage and support for sales team members while out on vacation or required business travel
  • Enter samples requests and ensure they are shipped on time, send tracking to customer and send COA before arrival
  • Monitor CRM opportunities list to ensure update and accurate information. (i.e. go live dates)
  • Manage trail samples order
  • Technical requests and customer account creation in Natbase


 

You Have:

  • Associates Degree, College degree
  • 2+ years support experience in professional services, sales or marketing environment.
  • Have working ability in multiple computer software applications in word processing, spreadsheets (can perform complex functions), database and presentation software (MSWord, Excel, Project, and PowerPoint).
  • Experience with ERP Systems (not required but preferred, ex. SAP, Oracle, Microsoft Dynamics)
  • Troubleshoot administrative challenges of supporting diverse people and programs.
  • To handle confidential situations.
  • Demonstrate the ability to juggle multiple competing tasks and demands.
